March Board Minutes Print E-mail

Grangeville Centennial Library Board Meeting

March 25, 2010

 

            The meeting was called to order at 5:08 p.m. by Dave Rauzi, president.

 

            Minutes of the January meeting were approved.

 

Unfinished Business:

            Dr. Seuss’s birthday celebration was very successful thanks to Rachel Foster and the library staff.

           

New Business:

Edie discussed the budget.  The new fiscal year began in October.  All of the library memorial money was used.

 

Edie presented the circulation report.   The library gets a lot of use.  The Board noted the continual increase of interlibrary loan books.

 

            It was moved (Wayenberg) and seconded (Lane) to go to executive session to discuss Edie Lustig’s 6 month probation period.  Motion passed.

 

            Following discussion it was moved (Wayenberg) and seconded (Bentley) to return to the regular Board meeting.  Motion carried.

 

            Dave announced that Edie has passed the 6 month probation period as all are pleased with her work.

 

Edie talked about the status of grants.  These have to be done through other organizations because the library does not have a 501C3.  One deadline was missed.  Edie can work through the Grangeville Arts or Kids Klub.  We are waiting to hear about a couple of grants for which Edie applied.

It might be advantageous to create a “Friends of the Library” group so they could try to get 501C3 status and work on additional funding for the library.

           

Edie talked about developing a flyer to highlight what the library can offer the public.  Dave will work on it with Edie.

 

Our library takes donations from patrons who take tests proctored by our library staff.  Some of the board members felt uncomfortable about this and asked Edie to poll other libraries to find out about their policies.

 

Tonya does not want volunteers to have keys to the library.  They can enter through the city offices and should not be there when the library staff is not present.  There are only a couple of keys out so those will be collected.

 

Assistant librarian Marge Pelham discussed the fact that the library has to pay maintenance when there is a problem with leaking around the heating unit mounted on the roof over the library.  The unit was placed there for convenience and is there to benefit the whole building.  It has been in place for approximately 3 years.  When it rains or snows, plastic is used to cover books and some book shelves have been moved.  It was not the library’s choice to mount the unit in that particular location.  Rob as our city council representative will check with the city council about this matter.

           

There is an issue of the generosity of the library being abused by the 3R’s tutoring program according to Marge, assistant librarian.  This is the second year of the program.  It began as a one day after school tutoring program then expanded into summer and is now two days a week after school.  The program is intended for students in grades 5-8 while only children younger than grade 5 have been attending.  Some of the students have been disrupting other library patrons and the tutors do not control them.  Students do not always go home at 5 p.m. when the tutoring ends and tutors leave.  Some use the library phone then walk out with the phone.  They also use the copy machine and do not pay for copies.  The board decided to let the 3R’s director know of the problems in a letter and invite her to the May board meeting to discuss these issues. 

                       

Our next board meeting will be May 27, 5:00 P.M.
